Looking for a way to generate personalized plan PDFs for a group of students all at once? Then take advantage of our new Bulk Plan PDF Generation feature. Bulk Plan PDF Generation makes it possible for counselor admins to generate and optionally email personalized plan PDFs for a group of students.
How It Works
Where to find the panel
Counselor admins can navigate to Admin > Settings, and find the "Generate Plan PDFs in Bulk" panel. Click on the "Generate PDFs" button to open the modal.
Generating PDFs
Select the group of students you wish to generate plan PDFs for. You can filter by class year, student name, or by counselor. Plan PDFs are generated based on the last run for the student.
| NOTE: Plan PDFs will include any commentary that was saved from the last time you generated the PDF through the Counselor Dashboard. |
Note that you cannot select students that have not run plans yet. Students with no runs will not have a checkbox, and their row in the table will appear gray.
After selecting the students you want to generate PDFs for, click the blue button labeled "Generate PDFs" located on the bottom right corner of the modal.
A progress monitor will be visible on the bottom left side of the modal to show your progress.
Once all PDFs are done, you will have the options to either download PDFs or email them to students directly from this modal.
If you want to go back and reselect a different group of students to generate PDFs for, click the button labeled "Back To Selection" to go back and select a new group of students.
Downloading PDFs
To download a ZIP file of all generated PDFs, click the button labeled "Download PDFs" at the bottom of the modal. To download and view an individual PDF, click on "view PDF" in the Status column for the student you want to download.
Sending Emails
If you'd like to email the generated PDFs directly to students, click the button labeled "Preview Email" to start. This will not email students yet. You will see a preview before you can confirm to send emails.
You can see a preview of the email that will be sent to your students. If you're not ready to send emails, you can either close the modal or click the button labeled "Back to PDFs Review" to go back to the table. When you are ready to send emails, click the button labeled "Send Emails".
Who will receive emails?
Each student that you selected to generate PDFs for will receive an email with their plan PDF attached. Student emails are listed in the table as shown below. These emails are the same emails that were entered when their accounts were created.
Each email sent to a student will be from support@collegekickstart.com. Replies will be directed to their assigned counselor.
The counselor admin who sent the PDFs will receive a confirmation email listing all students who received PDFs.
Additionally, any counselors assigned to those students will receive a notification email mentioning the counselor admin and which students received PDFs.
How To Get Started
Bulk Plan PDF Generation is enabled for all Large Practice Solutions and high schools by default. If you would like to opt out of this feature, please contact your relationship manager to disable this feature for your high school or practice.
