If your historical admissions data is exported from Maia Learning, we recommend exporting both an application by college report and a student report.
1. Export your historical admissions data
-
Navigate to the report by going to the navigation bar on the left and find Reports.
-
Next, open the College Apps tab. Set the first dropdown to Application Statistics and verify Application By College is selected in the second dropdown. Then, use the Class of... dropdown to choose the range of classes you want to include in the report.
-
Run the report and click on the CSV icon to export the report.
- Verify the report includes the following columns:
- University
- Student ID
- Class
- GPA
- AP / Honors
- High SAT 1600
- High ACT
- Type
- Result
- Attend
- Flags
2. Upload your outcomes
-
Navigate to the Outcomes Upload Wizard by going to Admin > Reports > Upload. Note this is a separate upload from the Local Context Upload Wizard.
- Start the upload wizard and choose the Application By College CSV report you exported from Maia Learning. After validating the file, continue to click next until you get to the Student ID tab.
If you have questions about the custom GPA tab, refer to this section in a different article.
-
On the Student ID tab, select the student ID option in the dropdown and click next to continue.
If the dropdown is disabled, it usually means a column was already chosen during a previous upload. The Upload Wizard will save your selection after the first time you complete this step for future uploads. If you need to change the selected column or your file no longer has the column, please contact support and we can update the column selection for you. Include your CSV file in your request for our team to assist efficiently.
If your report does not include a student ID column, go back to our main article and check the steps by available data section and look for different steps based on data that is present in your CSV.
- After the Student ID tab, continue through the next few tabs and finish the upload. For more info about the Apps and Admittances tab, click here. For more info about the Define Hooks tab, click here.
3. Export your student IDs
-
To export student emails and IDs, go to the navigation bar on the left and find Counselor, and click My Students.
-
Find the Class of dropdown and choose the classes you want to export. Select all classes of students that have or had accounts in College Kickstart.
-
Export the file by selecting the down arrow icon next to New Student and select Export students as CSV.
|
NOTE: Ideally the emails in this CSV file should be the emails you used to add and create student accounts in College Kickstart. |
The only columns you will need from this report are student emails and student IDs. To minimize issues, update your CSV file to match our template before uploading in Settings.
Ensure your file doesn't have any empty columns or rows to minimize issues during validation.
If your file includes student emails without a student ID, make sure to remove these rows from your file as well.
4. Upload your student IDs
-
Navigate to the Outcomes Student IDs panel in Settings by going to Admin > Settings > Upload Student IDs. Click the blue button labeled "Upload" in the Upload Student IDs panel to open the modal.
-
Click on the button labeled "Browse" to open file explorer or finder, and find your CSV file that includes student emails and IDs. After choosing your file, click Validate to check for any issues in your CSV file.
-
If you see a red alert appear after validating your file, click the button labeled "View Error Details" to see more details about the issues found in your file. You can delete problematic rows or resolve typos in your file.
-
After your file is validated, if you see a green success alert, you are ready to proceed with updating student IDs. To continue, click the blue button labeled "Import".
-
You will see a final confirmation panel to confirm student IDs you are about to update. The confirmation panel will list all students that were recognized by email. The student name and email are from the student's College Kickstart accounts, which were created when you added students into College Kickstart. If you previously imported student IDs, they will appear in the "Current ID" column. All IDs will be updated to the value that appears in the "New ID" column, highlighted in blue.
- If you are ready to update your student IDs, click "Confirm" at the bottom right of the panel. To cancel the update, just click "Cancel" on the bottom right of the panel.
5. Verify data is connected to plans
Once you've chosen a student ID column in the Outcomes Upload Wizard and uploaded student IDs in Settings, College Kickstart will start connecting your historical admissions data from Maia Learning to available student plans in College Kickstart with the student ID. You can check if you've successfully connected data by checking CK360 and going to the Admit Rates by Category visualization.
If the charts are not initially populated with data, you can try refreshing the page to see if the data loads. If you still see a message asking for data, you can contact your Relationship Manager and support@collegekickstart.com. Include both CSV files you uploaded for the Outcomes Upload Wizard and Upload Student IDs panel in Settings in your request, and we'll do our best to resolve connecting your data.
